How Can I Cancel a Member's Subscription to Prevent Further Charges?

TL;DR: Cancel a member's subscription in your Stripe dashboard. Go to Customers, find the member, click their subscription, and select "Cancel subscription." This stops future charges and removes their access.

Important: Use Stripe, Not LaunchPass

Where to Cancel Member Subscriptions

All member subscriptions are managed in Stripe.

NOT in LaunchPass:

  • LaunchPass doesn't have member management interface

  • Can't cancel individual members through LaunchPass

  • LaunchPass shows who joined, but not subscription controls

In Stripe:

  • All payment and subscription data

  • Complete customer management

  • Full cancellation control

  • This is where you manage members

Why Stripe:

  • Stripe processes all payments

  • Stripe holds all subscription data

  • LaunchPass connects to Stripe

  • Stripe is the source of truth

Step-by-Step: Cancel in Stripe

Step 1: Log Into Stripe Dashboard

Go to dashboard.stripe.com:

  1. Enter your email address

  2. Enter your password

  3. Click "Sign in"

Make sure:

  • Use the Stripe account connected to LaunchPass

  • Same account you set up payments with

  • Has your customer data

Step 2: Navigate to Customers

In Stripe dashboard:

  1. Look at left sidebar menu

  2. Click "Customers"

  3. You'll see list of all customers

This shows:

  • All people who subscribed

  • Their email addresses

  • Subscription status

  • Payment history

Step 3: Find the Member

Search for the member:

Option 1: Use search bar

  • Type their email address

  • Most accurate method

  • Results appear instantly

Option 2: Use search bar for name

  • Type their name

  • May show multiple results

  • Click correct person

Option 3: Browse the list

  • Scroll through customers

  • Look for their name

  • Less efficient for large lists

Pro tip: Search by email is fastest and most accurate.

Step 4: Open Customer Profile

Click on the customer:

  1. Click their name in the list

  2. Customer profile page opens

  3. See all their information

You'll see:

  • Customer details (name, email)

  • Subscription information

  • Payment history

  • Payment methods on file

Step 5: Find Their Subscription

On customer profile:

  1. Look for "Subscriptions" section

  2. Shows active subscriptions

  3. Find the one for your community

Subscription shows:

  • Plan name

  • Price

  • Billing interval (monthly/yearly)

  • Next billing date

  • Status (Active, Past due, etc.)

Step 6: Cancel the Subscription

Click on the subscription:

  1. Subscription details page opens

  2. Look for "Actions" menu or three dots (...)

  3. Click "Cancel subscription"

  4. Cancellation options appear

Two cancellation options:

Option 1: Cancel at period end (Recommended)

  • Member keeps access until billing period ends

  • They paid for full month/year

  • Fair to the member

  • Access until they paid for expires

Option 2: Cancel immediately

  • Subscription ends right now

  • Member loses access immediately

  • No refund for unused time

  • Use only if necessary (abuse, fraud, etc.)

Step 7: Confirm Cancellation

Choose your option and confirm:

  1. Select cancellation timing

  2. Optionally add cancellation reason (for your records)

  3. Click "Cancel subscription"

  4. Confirmation appears

Stripe will:

  • Stop future billing

  • Send cancellation email to member

  • Update subscription status

  • Notify LaunchPass of cancellation

Step 8: Verify Cancellation

Check it worked:

  • Subscription status shows "Canceled"

  • Shows cancellation date

  • Shows when access ends (if at period end)

  • No future invoices scheduled

Done! The member's subscription is cancelled.

What Happens After Cancellation

Automatic Access Removal

LaunchPass handles this automatically:

For Discord:

  • Role is removed at end of period (or immediately)

  • Member loses access to premium channels

  • May be kicked from server (if auto-kick enabled)

  • Happens automatically

For Slack:

  • Member is removed from workspace

  • Happens at cancellation

  • Automatic removal

For Telegram:

  • Member is removed from group/channel

  • Happens at cancellation

  • Automatic removal

You don't need to manually remove them - LaunchPass bot handles it based on Stripe cancellation.

Member Notifications

What the member receives:

From Stripe:

  • Cancellation confirmation email

  • Shows subscription ended

  • Shows final charge (if any)

From your platform:

  • May see access removed

  • Kicked from Discord/Slack/Telegram

  • No longer see premium channels/content

No notification from LaunchPass directly - handled through Stripe and platform.

When Access Actually Ends

If you chose "Cancel at period end":

  • Member keeps access until billing date

  • Example: Cancel on Oct 15, paid through Oct 31, access until Oct 31

  • Fair and professional

If you chose "Cancel immediately":

  • Access removed within minutes

  • Immediate loss of access

  • Use sparingly

Common Scenarios

Scenario 1: Member Requests Cancellation

Member emails you asking to cancel:

Best practice:

  1. Direct them to member portal: launchpass.com/portal

  2. They can cancel themselves

  3. Self-service is faster

  4. Empowers members

If they can't access portal:

  1. Cancel in Stripe for them

  2. Use "Cancel at period end"

  3. Confirm with them via email

  4. Let them know when access ends

Scenario 2: Payment Failed Multiple Times

Member's payment keeps failing:

Stripe automatically:

  • Retries failed payments

  • Sends member emails to update card

  • Eventually cancels if retries fail

You can:

  • Wait for automatic cancellation

  • Or manually cancel if past reasonable retry period

  • Usually cancel immediately in this case

  • Member already lost access likely

Scenario 3: Abusive or Problem Member

Member violating rules:

Steps:

  1. Cancel subscription immediately

  2. Issue refund if appropriate (see refund article)

  3. Ban from platform (Discord/Slack/Telegram)

  4. Document reason in Stripe notes

Important: Be fair and follow your stated policies.

Scenario 4: Member Wants Refund

If they want money back:

First: Cancel the subscription (this article) Second: Issue refund in Stripe (see our refund article)

Two separate actions:

  • Cancellation stops future charges

  • Refund returns money already paid

  • Both needed if you're giving refund

Scenario 5: Canceling Wrong Person by Mistake

If you accidentally cancel wrong member:

Can't "undo" directly, but can fix:

  1. Email the member explaining

  2. Send them new invite link

  3. They rejoin with new subscription

  4. Or reactivate in Stripe if caught quickly

Prevention:

  • Double-check email address

  • Verify member name

  • Check subscription details

  • Be certain before canceling

Bulk Cancellations

Canceling Multiple Members

If you need to cancel many members:

Manual method:

  1. Go through each in Stripe

  2. Cancel one by one

  3. Time-consuming but thorough

Note: There's no bulk cancel button in Stripe for safety reasons.

When You Might Do This

Shutting down community:

  • Cancel all members before closing

  • Give appropriate notice

  • Cancel at period end (fair)

  • Communicate clearly

Platform migration:

  • Moving to different platform

  • Cancel all, then migrate

  • Provide transition plan

  • Minimize disruption

Pricing change:

  • Cancel old subscriptions

  • Invite to new pricing

  • Give them choice

  • Grandfather option consideration

After Cancellation Management

Check Member Was Removed

Verify access removal:

In Discord:

  • Check member list

  • Verify they lost paid role

  • Check if still in server

In Slack:

  • Check workspace members

  • Should not appear in member list

In Telegram:

  • Check group/channel members

  • Should be removed from list

If still there:

  • Auto-kick may be disabled

  • Manually remove from platform

  • Check LaunchPass settings

Update Your Records

In Stripe:

  • Add notes to customer profile

  • Example: "Cancelled per member request"

  • Track cancellation reasons

  • Helps identify patterns

Example note:

Cancelled: Oct 17, 2025 Reason: Member request - moving to different platform Member since: July 1, 2025 (3 months) Total paid: $87 (3 × $29) Notes: Positive experience, just switching platforms

Why track:

  • Understand churn reasons

  • Improve retention

  • Reference if they return

  • Business intelligence

  • Technical issue with portal

Otherwise: Direct to portal for self-service.

Preventing Future Charges

What "Cancel" Actually Does

Canceling stops:

  • All future billing

  • Recurring charges

  • Automatic renewals

  • Subscription continuation

Canceling doesn't:

  • Refund past charges (separate action)

  • Delete customer from Stripe

  • Remove payment history

  • Erase data

Confirming No Future Charges

How to verify:

  1. Open customer in Stripe

  2. Check subscription status: "Canceled"

  3. No upcoming invoices scheduled

  4. Next billing date shows "N/A" or none

If you see future invoice:

  • Subscription may not be fully cancelled

  • Refresh page

  • Check again

  • Contact [email protected] if issue

Communication Best Practices

Notifying the Member

When you cancel for them:

Send confirmation email:

Subject: Subscription Cancellation Confirmation Hi [Name], Your subscription to [Community Name] has been cancelled as requested. What happens next: - No future charges - Access ends: [Date] - You'll receive Stripe confirmation email Questions? Reply to this email. Thanks for being part of our community! [Your Name]

Include:

  • Clear confirmation

  • When access ends

  • No future charges confirmation

  • How to contact you

Exit Feedback

Ask why they're leaving:

  • "What could we improve?"

  • "What did you value most?"

  • "Would you consider returning?"

Use feedback to:

  • Improve community

  • Reduce future churn

  • Understand member needs

  • Enhance value

Leave Door Open

Welcoming return:

  • "You're welcome back anytime"

  • "We'd love to have you again"

  • "Keep the invite link if you change your mind"

Many members return:

  • Life circumstances change

  • They miss the community

  • Try competitor and come back

  • Professional relationship maintained

Troubleshooting

Can't Find Member in Stripe

If member not showing:

Check these:

  1. Right Stripe account? (Connected to LaunchPass)

  2. Search by exact email address

  3. Try searching by name

  4. Check if they actually paid (may be trial only)

Still can't find:

  • They may not have completed payment

  • Check LaunchPass notifications

  • Verify in #launchpass channel (if Discord)

  • May be mismatch in data

Subscription Won't Cancel

If cancel button doesn't work:

Try:

  1. Refresh Stripe page

  2. Use different browser

  3. Clear cache and cookies

  4. Contact Stripe support

Never an issue we've seen - if it happens, technical glitch with Stripe.

Member Still Has Access After Cancellation

If they still have access:

Check:

  1. Did you cancel at period end? (Access continues until then)

  2. Auto-kick enabled in LaunchPass?

  3. Manually remove from platform if needed

  4. May take a few minutes to sync

Usually:

  • Cancellation at period end = access continues until paid period expires

  • This is correct behavior

  • Not a bug

Important Notes

Cancellation vs Refund

These are separate actions:

Cancel subscription:

  • Stops future charges

  • Removes ongoing access

  • Doesn't return money

Issue refund:

  • Returns money already paid

  • Separate process in Stripe

  • See refund article for steps

Both needed if:

  • Member wants money back

  • You're giving refund

  • Full resolution

Legal and Ethical Considerations

Only cancel if:

  • Member requested it

  • Payment failed and retries exhausted

  • Member violated terms

  • You're closing community

  • Legitimate business reason

Don't cancel to:

  • Punish member for feedback

  • Retaliate for criticism

  • Force them to upgrade

  • Manipulate them

Ethical standards:

  • Treat members fairly

  • Follow stated policies

  • Honor commitments

  • Professional conduct
