How to Export Member Emails for Marketing Campaigns

Learn how to export your member emails and upload them into email marketing and ad tools.

TL;DR: Go to LaunchPass Settings > Email & Social Marketing > Download emails. Choose "Download" (duplicates per offer) or "Download grouped" (one email per member). Upload to Mailchimp, Meta Ads, Google Ads, or other platforms. Create targeted campaigns.

Legal Requirements (Important)

Before exporting and using emails:

  • You own your member data - Members gave you permission to contact them

  • Follow platform rules - Each platform has policies about how to use lists

  • Respect member choice - Only send to people who agreed to receive emails

  • Include unsubscribe option - Give members a way to opt out

  • Follow GDPR/CCPA - If members are in EU or California, follow privacy laws

Step 1: Export Your Member Emails From LaunchPass

Accessing the Export Tool

Follow these steps:

  1. Log into LaunchPass with your admin account

  2. Click Settings (usually in the top right menu)

  3. Find Email & Social Marketing (look for this option)

  4. You'll see the export options

If you can't find "Email & Social Marketing," contact [email protected] and describe where you're looking.

Choose Your Download Type

You have two export options. Pick the right one:

Option 1: "Download"

Use this if: You want every subscription listed separately

What it does:

  • Exports one row per membership

  • If member has 2 memberships, they appear twice

  • Shows which specific membership they have

Example:

  • Member Jane has monthly + annual membership

  • Download creates 2 rows for Jane

  • One says "Jane - Monthly"

  • One says "Jane - Annual"

When to use:

  • You want separate campaigns for each membership type

  • You need to know which offer each person subscribed to

  • You're targeting specific membership tiers

Option 2: "Download Grouped"

Use this if: You want one row per member (most people choose this)

What it does:

  • Combines multiple memberships into one row

  • One row = one member (no duplicates)

  • Ignores which specific memberships they have

Example:

  • Member Jane has monthly + annual membership

  • Download grouped creates 1 row for Jane

  • Shows Jane's email once

When to use:

  • You want a simple email list

  • You don't need to know membership details

  • You're creating general member campaigns

  • You prefer cleaner data without duplicates

Export Your File

  1. Choose your option (Download or Download grouped)

  2. Click the button

  3. File downloads to your computer (CSV format)

  4. Save it somewhere safe where you can find it

The file is usually named something like "launchpass_members.csv"


Understanding Your CSV File

What's in Your Export

Your CSV file contains:

  • Member email addresses

  • Join date

  • Membership status (active, canceled, etc.)

  • Subscription type (if using "Download")

  • Any other data you track in LaunchPass

How to Check the File

On Windows:

  1. Find the file on your computer

  2. Right-click it

  3. Select "Open with"

  4. Choose Excel or Google Sheets

  5. You'll see the data in rows and columns

On Mac:

  1. Find the file

  2. Double-click it

  3. Opens in Excel or Sheets automatically

Important: The first row should be headers (column names like "Email," "Join Date"). Don't delete this row. Platforms need it to understand your data.

Formatting Requirements

All platforms need your CSV file formatted correctly:

Has header row (first row contains column names) ✅ Email column labeled "Email" (exact spelling matters) ✅ No blank rows in the middle ✅ Clean data (no extra spaces, special characters) ✅ Valid emails (real email addresses, not "test@test" or misspelled)

If your file is messy, clean it first:

  1. Delete any blank rows

  2. Fix obvious email typos

  3. Remove test accounts

  4. Check for duplicate emails

Mailchimp

Steps to upload:

  1. Log into Mailchimp at https://mailchimp.com

  2. Click Audience in the left menu

  3. Select your audience (if you have multiple)

  4. Click Manage Audience → Import contacts

  6. Click Browse and select your CSV from your computer

  7. Mailchimp matches columns automatically

  3. Click Audiences under Advertise

  4. Click Create Audience

  5. Select Custom Audience

  6. Choose Customer List

How often can I export member emails?

As often as you want. There's no limit. You can export:

  • Every day to get new members

  • Weekly to update platforms

  • Monthly for campaigns

Best practice: Export when you have new members or changes.

Can I export inactive members?

Yes, but maybe don't. Your export probably includes:

  • Active members (currently subscribed)

  • Inactive members (canceled subscription)

  • Maybe past members

Before uploading:

  • Open your CSV in Excel

  • Check what's included

  • Delete canceled/inactive if you only want active

  • Then upload to platforms

Do my members know I'm exporting their emails?

How many emails can I export?

Unlimited. LaunchPass has no cap on exports. Export as many members as you have.

The platform you upload to might have limits (Mailchimp free tier = 500 contacts, etc.), so check theirs.

Can I update my email list regularly?

Yes. You can:

  1. Export new member list

  2. Upload to same platform (platforms usually handle duplicates)

  3. Or create a new audience with updated list

Different platforms handle updates differently. Check their documentation.

Do I need to get permission first?

Legally, yes. Members should have agreed that you'd use their emails for marketing.

Check your:

  • Terms of service

  • Privacy policy

  • Signup form

Troubleshooting

Upload Says "Invalid File Format"

Try this:

  1. Make sure file is CSV (not Excel .xlsx)

  2. Open CSV in Excel/Sheets

  3. Verify header row exists

  4. Save and try uploading again

  5. If still fails, export again from LaunchPass

Upload Says "No Valid Emails Found"

The problem: Platform can't find email column

Fix:

  1. Open your CSV in Excel

  2. Check that first column is labeled "Email" (exact spelling)

  3. Verify emails look real (not "test@test")

  4. Save and try uploading again

Match Rate is Very Low (Ads)

This means: Google/Meta couldn't match many of your emails to users

  • Emails are outdated

  • Emails are misspelled

  • Wrong email column uploaded

  • People using different emails on Google/Meta

Fix:

  1. Clean your data (remove obviously wrong emails)

Can't Find My List After Uploading
